Attendance Tracking

Overview

Tiveko allows you to automatically track attendance at your events. For in-person events, QR code scanning is used, and for online and hybrid events, attendance is automatically synced with Zoom.

In-Person Attendance (QR)

How It Works

Each ticket generated in Tiveko includes a unique QR code. Scanning the code at the event entrance registers the participant's attendance.

Scanning Tickets

  1. Go to Events and select the event
  2. Use the Scan feature in the side menu
  3. Point the camera at the ticket's QR code
  4. The system will validate the ticket and register the entry

Scan Statuses

  • Valid — Ticket verified, entry registered
  • Already scanned — The ticket was already used previously
  • Invalid — The QR code does not correspond to a valid ticket

Online Attendance (Zoom)

Requirements

  • Have the Zoom integration connected
  • Create a Zoom meeting or webinar from the event date

How It Works

  1. Tiveko syncs Zoom attendance automatically every 24 hours
  2. The participant list from ended meetings and webinars is obtained through the Zoom API
  3. Each participant is matched by email address with ticket purchase records
  4. The attendance status is updated automatically

Online Attendance Statuses

  • Attended — The Zoom participant's email matches a ticket purchase
  • Did not attend — The ticket buyer was not found in the Zoom participant list
  • No ticket — The Zoom participant does not have an associated ticket purchase

Hybrid Attendance

For events with hybrid modality, both methods are combined:

  • In-person attendees are registered via QR scanning
  • Online attendees are registered automatically via Zoom
  • The attendance report shows both types in a single view

Attendance Report

The attendance report is available in the detail of each event. It shows:

  • Attendee name
  • Email address
  • Ticket type
  • Modality (in-person / online)
  • Attendance status
  • Registration time

Frequently Asked Questions

Is an internet connection needed to scan QR codes?

Yes. Scanning requires an internet connection to validate the ticket in real time.

What happens if the Zoom participant uses a different email than their ticket?

Attendance cannot be automatically linked if the emails do not match. It will appear as "No ticket" in the report.

Can I mark attendance manually?

Currently, attendance is registered via QR scanning (in-person) or Zoom sync (online).

How long does the Zoom sync take?

Attendance is automatically synced every 24 hours. Once the meeting or webinar ends, attendance will be updated in the next scheduled sync.
